Tutorial: Creating Contact

Contact

Before creating contact, user may require to record the following information

• Occupation

• Designation

• Account

Through ‘Contact’ interface details of the key contact person of the company can be updated.

Prospect contact details can be searched based on the criteria selected. The criteria includes 'Search by Name', 'Search by Mobile', 'Search by Phone’, ‘Search by Email’, ‘Search by City’ and 'Search by State’.

Creating Contact

Personal Information:

Salutation:  Select salutation e.g. MR., MRS., DR. etc.

Enter ‘First Name’ (Mandatory), ‘Middle Name’ and ‘Last Name’ (Mandatory).

Suffix: Enter the suffix code

Date Of Birth: Enter date of birth

Nationality: Select nationality e.g. Indian, Srilankan, NRI etc.

Religion: Select religion e.g. Hinduism, Buddhism, Islam, Christianity etc.

Gender: Select gender

Address:

Address: Provide address (Road Name, locality, landmark)

Country: Search and select the name of the country

State: Search and select the name of the state

City: Search and select the name of the city

Postal Code: Enter the postal code

Other Address:

Check ‘Please check if same’ check box if the other address is same. Provide all the values if other address is different.

Communication:

Enter mobile number(s) (One mobile number is mandatory) and Land line number. At least one mobile number is mandatory.

Check mark ‘SMS not sending’ if required. Otherwise SMS will be sent to the mentioned mobile number.

Enter Email id(s) and website url

Check mark ‘Email not sending’ if required. Otherwise Email will be sent to the mentioned email id.

Extra Info:

Company: Enter the name of the company. Mentioning the company name will automatically populate it on the Opportunity page.

Occupation: Provide the occupation of the contact person. (Record comes from Setup > Prospect Profile > Occupation)

Designation/Profile: Provide the designation or profile of the person. (Record comes from Setup > Prospect Profile > Designation)

Account: Select the account. (Record comes from Lead Management > Account)

Priority: Select the priority of the contact. (Record comes from Setup > Qualification Categorization > Priority)

Related information can be attached with each contact.

Action Button

A contact can be selected for different activities.

Once a contact is selected a button will be visible in the right top corner.  One can click the button for different activities like ‘Task, ‘Call’, ‘Email’, ‘Convert’.

Click on Task menu to define a task:

Click on Call menu to record call status of the contact:

Click on Email menu to send the mail from desired template:

Click on Convert menu to convert the contact to Opportunity:

Contact Import

Contact can be imported using a proper Contact import template. In this process users have to download the Contact template from the given import menu. Then this template has to be filled with proper information. Then upload this template and validate for any error. If it shows success after validation then import this template data in the system using the import button.

User can send WhatsApp from Contact page
